GDPR Privacy Note for Greenpeace Nordic Volunteers
SUMMARY
Greenpeace Nordic (organisational number org. Denmark: 89198313, Finland: 1731274-8, Norway: 979560540, Sweden: 857204-4280) has a legal duty to keep your data secure so you can have confidence when becoming involved in our activities as a volunteer. We have developed this privacy notice to help you understand what we do with your data.
We ask for your personal data in order to give you the best experience possible when becoming a volunteer for Greenpeace Nordic. We will only use your data for the purpose of the Greenpeace Nordic volunteer activities and to inform you of other options to be involved with Greenpeace. We will never sell your data to any other organisation or other third parties. We will not share or swap your data with another organisation or other third parties.

This policy applies to anyone who registers as a Greenpeace Nordic volunteer. By submitting your data you are accepting this Privacy Notice and authorize us to collect, store and process your information in the ways explained. We respect your privacy and we recognise the need for appropriate protections and management of your personal information. When we collect and use your personal information and special category data, we are the data controller for the purposes of the data protection laws.
KEY TERMS
Personal data is information that can be used to identify or contact a specific individual, such as a name, address, telephone number, email address, etc., and also includes online identifiers and location data such as IP addresses and mobile device IDs.
Special category data means personal information revealing your racial or ethnic origin; political opinions; religious or philosophical beliefs; or trade union membership; genetic data; biometric data; data related to your health or data concerning your sex life or sexual orientation; and criminal convictions or involvement in criminal proceedings.
A data controller is someone who decides why personal data is to be collected and how it will be used and treated.
A volunteer is someone who does not receive any monetary compensation for their work in the organisation. Volunteers do not replace Greenpeace staff. Taking part in activities offered by Greenpeace Nordic’s volunteering programme always happens on a completely voluntary basis. People over the age of 18 can become volunteers at Greenpeace Nordic. No special skills, talents or capabilities are needed to become a volunteer, although they may be utilised in specific projects. Greenpeace Nordic is committed to diversity and inclusion and continues to work towards a more diverse, open and inclusive volunteering programme. Volunteers are not bound by a contract and can decide to discontinue their engagement with Greenpeace at any time.
HOW DO WE USE YOUR PERSONAL DATA AND WHY?

INFORMATION: We will collect and store your contact details including your name, address, gender, date of birth, telephone number and email address.
WHY WE COLLECT IT: Greenpeace uses your information in a variety of ways which include the following:
- Informing you of volunteering opportunities.
- Informing you of volunteering updates, events and training.
- Request feedback on your volunteer involvement.
- Providing you with information on the impact of your volunteer involvement and keeping you updated on our campaigning work.
- Processing expense claims received from you.
- Making enquiries or informing you about your interactions with us (e.g. resolving technical issues).
- Responding to any complaints from you.
- Inviting you to campaign with us.
- Inviting you to participate in surveys or research.
THE LEGAL BASIS FOR COLLECTION: By joining Greenpeace as a volunteer, we assume Legitimate Interest from you and from us to keep you informed on opportunities to become more involved with Greenpeace.
SPECIAL DATA CATEGORY DEFINITIONS: your allergies, medical conditions, dietary requirements and In Case of Emergency (ICE) contact.
We store all personal data in secure electronic formats and your personal data will only be accessed by a small number of authorised staff and volunteers.
Skills & Interest Information
INFORMATION: We may collect and store details of your skills, motivations and interest information on various occasions (e.g. when registering as a volunteer). While you are a volunteer with Greenpeace Nordic we will retain all relevant information related to what we have sent to you and your response so that we are able to provide you with a full summary of your activity in the case that you would request it.
WHY WE COLLECT IT: We will use your information for the purpose of providing relevant updates about Greenpeace Nordic volunteer activities, campaigns and other opportunities to be involved in Greenpeace. Your information will only be accessed by a small number of authorised staff and volunteers.
THE LEGAL BASIS FOR COLLECTION: By being a volunteer with Greenpeace Nordic we assume Legitimate Interest from you and from us to establish areas of special interest to you and send you more informative communications on areas of special interest.

INFORMATION: We may collect and store details of your involvement in any Greenpeace activities such as role/function in the activity, including your information in relation to any potential legal outcomes.
WHY WE COLLECT IT: We will use your information for the purpose of providing a legal duty of care before, during and after any activity that has resulted or could result in a legal process. Your information will only be accessed by a small number of authorised staff and volunteers.

RETENTION PERIODS
We will not hold your personal information for any longer than is necessary for the uses outlined above, unless we are required to keep your personal data longer to comply with the law and any regulatory requirements.
Once you have notified us that you wish to discontinue volunteering with Greenpeace Nordic, then we will retain your personal data for no longer than 3 months. In addition, if you don't respond to any communication within an 18 month period, your personal data will be deleted.
If you have been involved in any Greenpeace activities that have resulted or could result in a legal process, your data in relation to that activity and process will be kept until the case has become statute-barred. The length of the limitation period depends on the length of the sentence prescribed for the crime. The collection of this data is for Greenpeace legal duty of care purposes only.

Child Safety Standards Policy
Child Safety Standards
Any explicit content or child sexual abuse and exploitation (CSAE) is strongly prohibited on our application.
Compliance with Child Safety laws & reporting
Our app complies with applicable child safety laws and regulations.
Our app ensures all content shared within the app is appropriate for a mixed audience, including children. User-generated content is moderated to prevent inappropriate material from being accessible.
Any CSAM (Child Safety Abuse Material) content will be automatically removed when flagged or reported through our moderation features or if we are directly contacted for this purpose.
We will systematically take action to report confirmed CSAM content to the National Center for Missing and Exploited Children.
CSAM consists of any visual depiction, including but not limited to photos, videos and computer-generated imagery, involving the use of a minor engaging in sexually explicit conduct.
